Customer: Is the hall still free on the second Saturday of June? We're planning a first communion party for about 80 guests.

Booking assistant: Good news, that date is still free. For 80 guests with the walking dinner menu and a drinks package, here is an indicative quote. Shall I hold the date for you while you decide?

Date held provisionally, indicative quote sent

Sound familiar?

Every party starts with ten emails

“Half of the requests are just: is this date still free? I answer them in the evening.”
“Options stay open for weeks, and I forget who I still need to call back.”
“I chase deposits by hand, and the calendar in my head doesn't match the one in Outlook.”
What we build

From first request to signed booking

We build the steps between “is this date free?” and a confirmed party: the questions you always ask, the quote you always write and the reminders you always send. You approve, the system does the typing.

Quote requests that answer themselves

Guests choose a date, the number of guests, a package and extras. They see at once whether the date is free and get an indicative quote based on your own prices.

Options you don't lose track of

A date can be held provisionally for a period you choose. The system reminds the guest before the option ends and tells you which options need a call.

Deposit reminders

After confirmation the guest gets the deposit request and, if needed, a friendly reminder. You see at a glance which bookings are paid and which are not.

One calendar, in sync with Outlook

Options, confirmed parties and tastings land in your Outlook calendar, so the website never offers a date that is already taken.

The quote on the website is always indicative: you check it and send the final version. Your prices, packages and guest data stay in your own Microsoft 365 environment.

See it working

A party venue site where guests request their own quote

Our demo site for a fictional party venue shows how a guest checks a date, puts together a package and gets an indicative quote with a provisional hold. All on demo data.

  • Date, guests, package and extras in one guided flow
  • An instant indicative quote, calculated from the venue's own prices
  • A provisional hold on the date, with a reminder before it ends

FAQ

Questions we often get

  • It depends on what you need: a request form, live availability and quotes, or a full assistant. After the free digital check you get one clear scope and a fixed price.

  • No. The quote on the website is clearly marked as indicative. You check every request and send the final quote yourself, so you stay in control of prices and exceptions.

  • For live availability and calendar sync, Microsoft 365 with Outlook works best. Don't have it yet? We can set it up for you, or start with a request form that sends everything to your current mailbox.

  • A request form is usually live within a few weeks. Availability, options and deposit reminders take a little longer, because we set them up with your own packages and prices. We agree on the planning up front.

  • Yes. The system only holds a date provisionally and tells you about it. Confirming a booking stays your decision.

  • We build with GDPR in mind. Guest details go to your own mailbox and Microsoft 365 environment, not to an outside booking platform, and we only ask for what you need to prepare the party.
