Customer: Hello, attached are our drawing and spec sheet for 200 shafts in C45. Could you send us a quote?

Document assistant: I read the email and the spec sheet: 200 shafts, C45 steel, tolerance ISO 2768-m, delivery wanted by week 48. The request is ready for the account manager to check.

Sound familiar?

Paperwork that eats your evenings

“Every invoice gets typed into the accounting package by hand, line by line.”
“Work orders come back on paper or as photos, and someone has to copy them over.”
“Writing a quote or a contract means copying an old one and hoping I changed every detail.”
What we build

Documents that process themselves, with you in control

We start with the document type that costs you the most time, test it with your own examples and only then add the next one.

Invoices & receipts

Supplier, VAT number, amounts and due date read from a PDF or scan, and checked against your purchase orders or your own rules.

Forms & work orders

Intake forms, inspection sheets and signed work orders turned into data, even from a photo taken on site.

Contracts & agreements

Parties, dates, duration and notice period pulled out for you to review, with a reminder before a renewal date.

Quotes & contracts from templates

Your own Word templates filled in from the data you already have, ready to check and send.

Nothing is booked or sent without a person approving it. When the AI isn't sure about a field, it marks it for you instead of guessing. Your documents stay in your own Microsoft environment.

See it working

A quote request that files itself

Our demo site for a fictional machine parts supplier shows what happens behind a quote request, step by step, on demo data. Reading the attached documents slots into that same chain.

  • A quote request with drawings and specs attached, stored safely
  • A record in Dataverse, linked to the right customer
  • A confirmation for the customer and a follow-up task in Dynamics 365

How it connects

From inbox to booked, in one chain

Documents arrive where they arrive today. The flow reads them, asks a person to approve, and writes the result to the system where it belongs.

  • OutlookInvoices and forms arrive in a shared mailbox, or as a photo or an upload.
  • Your approvalAn approval in Teams or Outlook, with the document next to the data read from it.
  • SharePointThe original document filed in the right folder, with its details as metadata.
  • ExcelSimple overviews and registers, for smaller volumes.
  • Dynamics 365Orders, cases and quotes linked to the right customer in Dataverse.
  • Accounting packageApproved invoices sent to your accounting package through its API or an import file.

FAQ

Questions we often get

  • Invoices, receipts, purchase orders, delivery notes, forms, work orders and contracts. Digital PDFs work best, clear scans and photos work well too, and handwriting is possible but less reliable. We always test with your own documents first, so you know what to expect.

  • Every field it reads comes with a confidence score. When the score is low, the field goes to a person instead of being filled in silently. And nothing is booked before someone approves it, with the original document right next to the data.

  • Structured e-invoices, usually sent via Peppol, already contain the data, so they don't need reading. We can still pick them up and send them to approval or to your systems. Document reading remains useful for invoices from abroad, receipts, forms, work orders, delivery notes and contracts.

  • For the full chain, yes: the flows run on Power Automate and the documents land in SharePoint or Outlook. AI Builder and premium Power Automate features need extra licenses or capacity; we advise what fits your volume. For your accounting package we check whether it has an API or an import option.

  • Documents are processed in a Power Platform environment in Europe, with cross-region processing switched off, and are not used to train public AI models. Only the people who need them get access, and we set retention periods with GDPR and your bookkeeping obligations in mind.

  • A first document type is usually live within a few weeks, including testing with your own examples. Each extra type or connection is planned as a next step. Our work is a fixed price after the free digital check; Microsoft licenses are separate.
