Microsoft 365 Copilot
Copilot set up safely: the right licenses, files that are shared properly, and a team that knows what to ask.
Customer: Summarize this week's emails about canceled appointments and draft a reply to each one.
Copilot in Outlook: Four cancellations this week; two patients ask for a new slot. I drafted a reply for each, offering Tuesday or Thursday. Do you want to review them?
Four draft replies ready in Outlook, nothing sent without you
Copilot raises more questions than it answers
“We bought a few Copilot licenses, but nobody really knows what to ask it.”
“I'm afraid Copilot will show colleagues files they were never meant to see.”
“Copilot Chat, Microsoft 365 Copilot, Copilot Studio: I no longer know what we need or what we already pay for.”
Copilot set up properly, from license to habit
We prepare your Microsoft 365 first, then roll Copilot out in steps, with your own documents and your own tasks.
License advice
What your plan already includes, where the free Copilot Chat is enough and which people gain most from a paid Microsoft 365 Copilot license.
Data readiness
We review sharing in SharePoint, OneDrive and Teams and close what is too open, so Copilot only finds what each person is allowed to see.
Sensitivity labels
Labels for confidential information such as HR, financial or patient files, set up in Microsoft Purview so the protection travels with the document.
Rollout & training
A pilot group first, then the rest of the team. Hands-on sessions in Outlook, Teams, Word and Excel, with practical prompts for each role.
Copilot only shows what a user already has access to, and your data is not used to train the underlying AI models. We make sure that access is right before anyone starts asking.
Where Copilot fits in a small practice
Our demo site for a fictional physio practice shows the assistant that patients see. Copilot is its counterpart for the team: it works in Outlook, Teams and Word, on the practice's own information and only on what each person may see.
- In the demo: an assistant that answers patients and books appointments, on demo data
- With Copilot: summaries of long email threads and meetings, and first drafts of letters and replies
- Patient files protected with tight permissions and sensitivity labels, so Copilot leaves them alone
Copilot works where your team already works
Copilot reaches your mail, meetings and files through Microsoft Graph, always within each person's permissions. We set up the parts around it.
- OutlookSummarizes long threads and drafts replies in your tone; you check them before sending.
- TeamsMeeting recaps, action items and a quick catch-up on chats you missed.
- Word & ExcelFirst drafts of documents based on your own files, and help with analyzing tables in Excel.
- SharePoint & OneDriveThe files Copilot can find, with permissions cleaned up first.
- Microsoft PurviewSensitivity labels and policies that keep confidential information protected.

Questions we often get
Copilot Chat comes with Microsoft 365 business plans at no extra cost: a secure AI chat that works with the web and with files you add yourself, under enterprise data protection. Paid Microsoft 365 Copilot is an add-on license per user that also works with your work data, such as your mail, meetings, chats and files, inside Outlook, Teams, Word, Excel and PowerPoint. Many businesses start with Copilot Chat and license the people who gain most.
No. Paid Copilot is licensed per user, so you can start with a few people, see what it brings and decide from there. Everyone else can already use Copilot Chat.
Copilot only shows what a user already has access to. The risk is that access is wider than you think: a SharePoint site open to everyone, an old sharing link, a Teams channel with salary files. That is why we review permissions and add sensitivity labels before the rollout, not after.
Microsoft 365 Copilot is an add-on for the common business and enterprise plans, such as Business Basic, Business Standard and Business Premium. Sensitivity labels and stronger data protection need a plan that includes them, for example Business Premium. We check what you have and only advise an upgrade when you really need it.
Prompts and answers stay within the Microsoft 365 service boundary, under the same security, privacy and compliance commitments as the rest of Microsoft 365, and they are not used to train the underlying AI models. Microsoft commits to its EU Data Boundary for Microsoft 365 Copilot; web searches through Bing fall outside it and can be switched off. We check those settings with GDPR in mind.
License advice and a Copilot Chat setup take days, not weeks. A pilot with data readiness usually takes a few weeks, depending on how tidy your SharePoint is. Our work is a fixed price after the free digital check; the Copilot licenses run through your Microsoft 365 subscription, separately from our work.
